Services > Condominium Associations

Urbane Results is happy to tailor a management contract that fits your association’s needs.  Our dedicated staff works with your association leaders to ensure a seamless operation.  We provide experienced and balanced management solutions for your association.

 A variety of services and options are available.  Listed below are traditional contract inclusions:

Financial Services

  • Cash Accounting
    • Urbane provides cash-based accounting services.
  • Assessment Collections (condo dues)
    • Owners are invoiced via email (or USPS mail upon request) two weeks before the next monthly condo payment is due as a courtesy reminder.  Individual annual statements are also emailed.   
  • Payment Options
    • Owners are welcome to fulfill their financial obligations by money order, personal check and ACH direct debit service.  Electronic checks and credit card payments can be made via our website for an additional 3% processing fee paid by the owner.
  • Reserve Fund Development
    • Proper reserve fund development is a crucial part of responsible association management.  We work closely with clients to ensure their money is working for them while still being accessible without penalty for emergencies. 
  • Annual and Project Budget Development
  • Accounts Payable
    • We guarantee all of your monthly obligations will be paid on time and Urbane will cover late fees if we are responsible for a delinquency. 
  • Vender Payment
    • Every invoice is reviewed and checked against service requests prior to being paid.  We ensure your venders, service companies and employees are paid correctly and on time.
  • Transparent Account Practices
    • Urbane utilizes an online version of Quickbooks that provides your Board and accountant with 24/7 access to your financial information and records.  This is combined with an online data storage system that hosts scanned monthly financial reports, invoices and other documents.  Forget snail mail and faxes; we are paperless for your convenience and our environment. 
    • All of our clients are encouraged to retain an accountant annually for auditing and tax filing purposes. 
  • Monthly & Annual Reports
    • Reports are sent out on the 15th of the following month and include:
      • Full ledgers
      • All Invoices and Bills
      • Owner Account Balances
      • Bank Account Transaction Report
      • Operating & Reserve Account Statements
      • Year to Date Budget vs. Actual Spreadsheets
    • We are happy to customize our reporting to suit individual requests.
  • Communication with Treasurer
    • At a very minimum, we like to sit down with your treasurer every three to four months to review your financial status.  Keeping you informed and involved helps avoid surprises at the end of the year and allows us to continually evaluate budgets and expenses

 24/7 Emergency Support Services

  • Common Elements
    • Urbane offers a 24/7 emergency call service for maintenance emergencies.  The manager on duty will provide a 10 minute response to all calls and is generally on-site within 30 – 45 minutes. 
  • Individual Support
    • Individual owners and residents are also able to take advantage of our emergency service.  We can provide contact information for licensed and insured service providers.
  • Lockout services are also available.

Maintenance & Repair

  • Use your existing venders or ours.
    • We have developed an extensive network of skilled and accomplished service companies, but if you are in an existing contract or are happy with your current service provider we are happy to work with them too.   All vender invoices are billed at cost with no service markup. 
  • Maintenance Provided by Urbane
    • Urbane can provide mature and experienced maintenance personnel as dedicated site-based staff or on an as needed basis.  Site based staff are provided at close-to-cost and as needed service is billed at a flat rate plus materials and travel time.
    • The same services available to the building are also available to individual residents at the same price.  No more need for your neighbors to pay high service rates.
  • Maintenance Supervision
    • Unlike most of our competition, we do not just give keys out to third-party venders and service people.  Urbane will supervise all maintenance that takes place at your property.  Venders are met upon arrival and all work is reviewed within 24 hours of completion.
    • When a common element maintenance issue requires access to an individual residence, an Urbane employee will escort third-party venders at all times. 
  • Quote Gathering and Vender Requirements
    • In most cases, Urbane will gather two or three quotes for large maintenance projects and we are constantly evaluating vendor rates.  Unless the Board dictates otherwise, we require that all venders be licensed and insured and will not approve work until those qualifications have been verified.

Communication

  • Urbane Results is proud to offer a 24-hour response policy.  All email correspondence (accounting, maintenance and service) is addressed within 24 hours including weekends and holidays.  Even if we do not have a solution, we will acknowledge receipt of your request and follow up right away. 

Association Functions

  • All board meetings, committee meetings and annual functions are attended by an Urbane employee. 

Quarterly Comprehensive Evaluations

When it comes to maintenance, Urbane likes to take a more preventative approach.  Your building and common elements are inspected to evaluate maintenance needs, ongoing preventative maintenance programs, seasonal maintenance and improvements.  Inspections are usually conducted in March, June, September and December. 

In addition to physical evaluations, we also undertake budget reviews and service evaluations.  In cooperation with your Board, an online comment card is developed to gather feedback on our service, the Board’s performance and special questions like special assessments and capital improvement plans. 

Small Associations

Urbane Results provides services to buildings with as few as three units.  All of our clients, regardless of size, receive the same great service for which we are known. 

New Developments & Associations

Younger associations often need a lot of guidance during the first few years, especially if you are new to home ownership or living in a condominium.  Partner with Urbane and we will guide you through every step from procedural formalities to transitional studies and engineering reports.  (Urbane only serves clients after their developer's initial operating period has expired and once an owner board is in charge.)   

Management Fee & Costs

Urbane is a fee simple company.  Our association management fees are calculated on a per-unit basis with additional fees charged for dedicated staff supervision, maintenance that we perform and in a few other select instances.

Clients are not charged* for most administrative tasks, photocopies, faxes, postage, phone calls, emergency calls, vender supervision, budget development and attending meetings.  Some exceptions apply.

Owners are individually responsible for (individual) maintenance costs, resale and other large document requests and other elective services.
